Dynamics 365 views are not limited to displaying lists of records. They can also be used to summarize and analyze data using grouping and totals.
Grouping Records
Users can group records in a view by:
- Text fields like State or Country
- Choice fields such as status or stage
- Date fields, grouped by year, quarter, or month
Grouped views show record counts for each group and allow users to expand or collapse sections as needed.
Adding Totals
Numeric columns can display:
- Totals
- Averages
- Minimum and maximum values
Totals update automatically based on the records currently displayed in the view.
Important Limitations
Grouping and totals are applied on demand and cannot be saved as part of a view. While this limits persistence, it makes these features useful for quick analysis without creating reports or dashboards.
When to Use Grouping and Totals
These features are ideal for:
- Reviewing pipeline distribution
- Spotting trends over time
- Getting quick answers without exporting data
They provide lightweight insight directly where users are already working.
